Data purging

Purging allows you to permanently delete data that is no longer needed: imports used in data comparison analyses and data-less reconciliations that remained open and unused. By removing what is no longer relevant, you free up storage space on the platform.

Because it deletes data permanently, it is an irreversible action. Use with care and be sure of what you are removing before confirming.

What happens to purged data

After purging, data can no longer be consulted. It is important to understand the effects in each case:

  • Imports: imported data and the reconciliation data linked to them are deleted. The record remains visible in Import → Import History, but only when you filter by the Purged status, and without displaying the data itself.

  • Reconciliations: when opening a reconciliation analysis for a purged date (in Reconciliations → Reconciliation Analysis), the data does not appear. Purging reconciliations removes the analysis, its tasks and notifications, and all related records, keeping only the creation record in the Audit Log.

Before you begin

Access is usually restricted to administrators. Before purging, confirm that the data will truly no longer be needed, as there is no way to undo it.

Performing a new purge

  1. Open Settings (gear icon) → Information SecurityData Purge.

  2. Click New Purge.

  3. Choose the type: Imports based on reference date, Imports based on import date, or Reconciliations.

  4. Enter the filters (start and end date; for reconciliations, also the Reconciliation Map and folders) and click Search.

  5. Check the sample of the data to be removed and click Start Purge.

Tip: the three types serve different situations. Reference date is the accounting period selected during import; import date is the day the import occurred; reconciliations are data-less analyses that remained pending on the platform.

Important: by clicking Start Purge, the data is permanently removed and can no longer be used.
