Task Management

Task Management brings together the activities and routines of your financial operation on a single screen. You create tasks, assign owners and deadlines, record what was done, and track progress of everything in one place, without relying on separate spreadsheets and emails. This article shows how to use Task Management day to day.

Before you start

Task Management is located in the Tasks menu of the platform. Two things determine what you see and do there:

  • Tasks are organized into folders. Each task belongs to a folder, and access is controlled by the privacy profiles associated with it. You can see the tasks in the folders that your profile is allowed to access.

  • Each task has a type, shown in the Task Type field, which defines who creates it and how it is edited (explained below).

Task types

  • Task: created by you. It can be edited, canceled, or manually completed at any time.

  • Reconciliation: automatically generated by the platform during the reconciliation process. Fields such as stage, start date, and owner are defined and controlled by the platform itself.

  • Account: automatically generated by the platform during the account analysis process. Fields such as stage, start date, and owner are defined and controlled by the platform itself.

Tip: to restrict access to a set of tasks, create a folder or subfolder and associate it only with the privacy profiles that should be able to see it.

Create a task

  1. In the Tasks menu, click New Task (the + icon).

  2. Fill in the task fields (described below).

  3. Click Save.

The task fields

  • Task Name (required): the task title. E.g.: Fechamento financeiro 10/2024.

  • Description (optional): details of what needs to be done. E.g.: Tarefa para o fechamento de outubro.

  • Attachments (optional): supporting documents or images.

  • Stage: the current status of the task — Pending, In progress, or Completed. Every task starts as Pending.

  • Start Date (required): automatically filled in with the creation date, and editable.

  • Due Date (optional): the task deadline.

  • Due Time (optional): the due time on the delivery date.

  • Reporter (optional): the person who follows the task, but does not execute it.

  • Owner (optional): who will carry out the task.

  • Label (optional): labels used to categorize and filter tasks.

  • Created by: automatically filled in with the user who created the task.

Recurrence

For recurring routines, enable Add Recurrence when creating the task and choose the frequency. The platform will then generate the task automatically in each cycle:

  • Daily: repeats every X days.

  • Weekly: repeats every X weeks, on the days of the week you define.

  • Monthly: repeats every X months, on a specific day or on the chosen business day.

  • Yearly: repeats every X years.

Task dependencies

When one activity can only happen after another, you can link them. The dependency tells the platform the correct order of delivery, and it starts handling that for you:

  • If a task cannot start before another one, the platform blocks the start until the previous one is released.

  • If a task cannot be completed without a prior basis, the platform prevents it from moving forward.

  • The blocks and links are visible to the entire team, without needing separate controls.

Instead of asking “can I start the report yet?”, the platform itself shows what is ready and what is still pending.

Tip: for recurring tasks, the link is automatically carried over to the next cycle. When you complete the September reconciliation, the dependency is already set up in the October reconciliation, without having to recreate rules every month.

Comments and mentions

When opening a task, use the Comments field to record updates, answer questions, and keep the history in one place. Type @ followed by the name to mention another platform user: the mentioned person is notified and can reply directly in the task, without email exchanges.

Generate a task report

You can export tasks from a folder to an Excel spreadsheet, exactly following the filters applied on screen:

  1. In the Tasks menu, select the folder and apply the desired filters.

  2. Click Generate Report.

The spreadsheet is downloaded with the tasks that match the applied filters. To change the report contents, adjust the filters before generating it.

Create many tasks at once

To load a large batch of tasks from a spreadsheet, there is a bulk import flow, which is more advanced and intended for implementation. It depends on a configuration package and a template spreadsheet. See the step-by-step instructions in the article Bulk task import.

Important: bulk import creates the basic task structure (title, description, deadline, and owner), but it does not configure recurrence. Recurrence must be added afterward, directly in the platform.
