License control

License Control brings together, on one screen, everything your organization has contracted on the platform and how much is already being consumed. It is where you track license validity, the volume of lines processed in the month, and the use of each resource, with the clarity necessary to manage the contract.

Before you start

Access is usually restricted to administrators. The screen is informative: it serves to consult consumption and validity, and allows you to update license data instantly.

Accessing license control

Open Configuration (gear icon) → General SettingsLicense Control.

What the screen shows

In addition to the license validity (the period in which the organization can use the platform according to the contract), the screen tracks the consumption of each resource:

  • Data sources: where the information is extracted from (CSV, Excel, API, among others). Data sources used in Data Preparation processes, those for accounts (layouts from the "Chart of Accounts", "Trial Balance", "Mass Support", and "Responsible Registration" packages), and others (layouts used in data reconciliation) are counted separately.

  • Processes: activities that transform inputs into results. It counts Reconciliation Maps (with matching rules) and other Data Preparation processes that use a Reconciliation component.

  • Export layout: the export settings registered in the Configuration Packages.

  • Businesses: the business divisions used to separate charts of accounts (for example, wholesale and retail).

  • Users: the number of users registered on the platform.

  • Disk space (GB): the space that data occupies, totaling database and files.

  • Lines processed per month: the total lines imported from external sources (Excel, TXT, CSV, XML, OFX, API, database, and PDF) in the current month.

The Update License Online button synchronizes license data the moment it is clicked.

Detailed report of processed lines

To understand where the lines counted in the month come from, the platform offers a detailed report showing each import by date, folder, and data source. It makes it easy to check and validate the License Control numbers, showing the import date, the folder, the executed process, the data source, and the total lines for each case.

How to configure

The report is delivered as a configuration package (LICENSE-USAGE v2.0) that you restore on the platform:

  1. Have the LICENSE-USAGE v2.0 file ready (provided by support).

  2. Go to General Settings → Configuration Backup and Restore, Restore tab, click New, select the file, and complete.

  3. In Users → Privacy Profiles, link the package to the profiles that will have access to the report.

  4. Link the package to the folder where the report will be generated.

Tip: the link only defines where the report is executed. The numbers consider all imports made on the platform during the reported period, not just those from the linked folder.

How to generate

  1. In the Exports menu of the linked folder, click New export.

  2. In Information layout, choose "Detail of imported lines per period".

  3. Enter the start date and end date (always within the same month, e.g.: 01/01/2025 to 01/31/2025).

  4. Click Start Export.
