Approval Flow and Reconciliation Cover

After reconciling a group’s accounts, you take it through the approval flow and, at the end, generate the reconciliation cover. Both the flow and the cover belong to the closing group: a group with multiple accounts advances through the stages all at once.

The approval workflow

The standard flow has three stages — Prepare, Review, and Approve — each with an owner and a deadline (SLA). When you move a stage forward, the platform starts counting the deadline for the next one and notifies the next owner. There are three ways to advance:

  • Using the current stage button on the flow card, within the Edit screen.

  • Using the advance icon on the Account Analysis row, without opening the group.

  • Using bulk approval, for several groups at the same time.

To move a stage back, use the Undo button on the current stage, if you have permission. Moving back is what re-enables editing for a group that has already been approved.

Important: when the "Block Workflow" rule is enabled, advancing is blocked while the group is Pending or Unexplained. Update the status (by uploading the trial balance or justifying the difference) before advancing.

Approve multiple groups at once

In Account Analysis, the Approve Accounts button enters selection mode. Select the desired groups, choose the Advance approval workflow or Revert approval workflow action, and confirm with Execute. The same blocking rule still applies. Approving moves the selected groups to the next stage; reverting rolls it back, which is useful when an approval was made by mistake.

Automatic approval

Groups with no movement can be approved without anyone clicking when the auto-approval rule is configured, there are assigned owners at each level, and the status is Reconciled or Justified. This is defined during implementation, by account or group.

The Reconciliation Cover

The cover is the group's auditable report, in PDF. You generate it using the cover button on the Account Analysis row or the Report button inside the Edit screen. The document includes the header with the business data and the client's logo, the composition of the reconciliation account by account, the composition of support items and differences, the explanatory note, the approval flow with owners and dates, and the list of attachments.

Tip: the cover always reflects the group’s current state at the moment it is generated. There are no saved versions: if you generate it again after new changes, the content will be different.
